Scope and privacy requests

This policy explains how ClipPrism handles personal information when you visit the service, create an account, upload content, use processing features, or purchase a plan. To ask a privacy question or request access, correction, or deletion, email [email protected].

Temporary audio copies stored for the transcription provider follow the temporary-audio deletion rules below. They are distinct from source audio and video caches used for further processing. Source references and necessary media caches may be retained within the video’s existing retention period and may be cleared earlier. Video deletion or expiry also initiates cleanup of these managed copies; it does not delete the original video from the source platform.

Video content submitted to ClipPrism includes files you upload and content you ask us to process through a video link. We use the submitted link and related source information to provide that requested service. Providing a link does not replace the requirement to own the content or have sufficient authorization. At your request, we retrieve linked media and its title, duration and source information to transcribe, score, preview and export your content. This may involve source audio, lower-resolution previews and original-quality video segments cached for processing, recovery or finding more clips. The same content rights and limited service license apply to uploaded files and linked content. For audio-only Apple Podcasts episodes, we also retrieve and process the show artwork to create a video. Your content rights and the limited service license must cover both the audio and the artwork.

• Account data may include email, display name, plan, account status, protected password credentials, or basic Google identity information.
• A necessary session cookie supports anonymous and signed-in sessions. Anonymous sessions normally expire after 3 days and signed-in sessions after 14 days. The service does not use advertising or marketing trackers; adding non-essential tracking requires updated notice and consent where required.
• Content data includes the uploaded video, extracted temporary audio, transcript and timing, scoring input and output, recommendations, previews, subtitles, exports, review notes and decisions, rights attestations, deletion status, and safe task or security records.
• Subscription records include checkout status, plan, period, renewal state, available allowance, and processing usage. Payment providers handle payment details; ClipPrism does not store complete card numbers or security codes.
• Temporary audio prepared for transcription is deleted after successful transcription and otherwise kept for no more than 7 days. Reviewable content is normally retained for 3, 30, 90, or 180 days by anonymous, Free, Lite, or Standard tier; failed or non-reviewable tasks use 7 days. Safe processing usage history is shown for the most recent 12 months.
• After a content deletion request, ClipPrism removes access first and cleans up known original content, derived files, and provider copies. Limited records without user content may remain for security, billing, or legal duties.
• Email verification and password recovery use short-lived, single-use credentials. An email delivery provider receives the address and delivery information needed to send these transactional emails; they are not marketing messages.
• To prevent automated abuse and protect accounts and uploads, security providers may process browser, device, network, and risk signals and return a short-lived challenge result.
• Uploaded video and related files may be stored or processed using cloud infrastructure located in the United States. Some audio and transcript text is processed in mainland China as described below.

Data and purposes

We process account and session data; uploaded video and resulting audio, transcripts, scores, previews, and exports; task and security records; and information required for support requests.

• Provide and secure the service you request.
• Troubleshoot, prevent abuse, process deletion requests and support requests, and meet legal duties.
• Do not use production customer content for general model training, marketing, advertising, or public examples without a separate lawful basis and explicit consent.

Providers, transfers, deletion, and retention

Cloud infrastructure, storage, speech recognition, and AI analysis providers help deliver the service. Some audio and transcript text is processed in mainland China. ClipPrism sends only the minimum text needed for scoring and does not send the original media or direct account identifiers for that purpose. Temporary audio prepared for transcription is deleted after processing; failed or interrupted temporary audio is kept for no more than seven days. Providers process data under their applicable terms and account settings, so ClipPrism cannot guarantee that every provider always excludes training use.

Changes to this policy

We may update this policy when our service, legal duties, security practices, or personal-data processing changes, and will update the date shown on this page.

• Where required, we will give reasonable advance notice by email, an account notice, or a prominent service notice if a material change affects data categories, purposes, sharing or transfers, retention, or user rights.
• We will request consent again where applicable law requires it.
