Privacy Policy

Scope and privacy requests

This policy explains how ClipPrism handles personal information when you visit the service, create an account, upload content, use processing features, or purchase a plan. To ask a privacy question or request access, correction, or deletion, email [email protected].

Temporary audio copies stored for the transcription provider follow the temporary-audio deletion rules below. They are distinct from source audio and video caches used for further processing. Source references and necessary media caches may be retained within the video’s existing retention period and may be cleared earlier. Video deletion or expiry also initiates cleanup of these managed copies; it does not delete the original video from the source platform.

Content submitted to ClipPrism includes uploaded MP4 video, MP3/WAV audio, and content you ask us to process through a video link. We use the submitted link and related source information to provide that requested service. Providing a link does not replace the requirement to own the content or have sufficient authorization. At your request, we retrieve linked media and its title, duration and source information to transcribe, score, preview and export your content. This may involve source audio, lower-resolution previews and original-quality video segments cached for processing, recovery or finding more clips. The same content rights and limited service license apply to uploaded files and linked content. For audio-only Apple Podcasts episodes, we also retrieve and process the show artwork to create a video. Your content rights and the limited service license must cover both the audio and the artwork.

To help you identify past content, video names and small cover images for signed-in users may remain after the source video and clips expire, until you delete the content. This does not extend access to the source media or clips. Deleting the content also deletes its cover. Anonymous-trial expiry and access limits remain unchanged.

• Account data may include email, display name, plan, account status, protected password credentials, or basic Google identity information.
• Anonymous and signed-in sessions normally expire after 3 and 14 days. With your consent, we save a separate invitation cookie for up to 30 days. You may decline and enter a code before registration, or clear the saved invitation. The server stores a hash of the random cookie token, invitation code, campaign and click/expiry times; it does not store your destination URL or contacts. Expired unbound candidates are deleted by scheduled cleanup; expired OAuth attribution is cleared. After registration, the locked relationship, qualifying processing/export evidence, payment identifiers, reward and adjustment records, and review audit are retained only as needed to deliver the offer, resolve disputes, protect against abuse and meet accounting or legal obligations. The 30-day attribution window is not a retention limit for all billing records. Friends see only limited reward progress, not each other’s email, videos or payment amounts. Contact support for access, deletion or review requests; legally required records may need to be retained.
• Content data includes uploaded video and original MP3/WAV audio, extracted audio and temporary transcription copies, transcript and timing, scoring input and output, recommendations, previews, subtitles, exports, review notes and decisions, rights attestations, deletion status, and safe task or security records.
• Subscription records include checkout status, plan, period, renewal state, available allowance, and processing usage. Payment providers handle payment details; ClipPrism does not store complete card numbers or security codes.
• Temporary audio copies uploaded to the transcription service are deleted after successful transcription and otherwise kept for no more than 7 days. Reviewable content is normally retained for 3, 30, 90, or 180 days by anonymous, Free, Lite, or Standard tier; failed or non-reviewable tasks use 7 days. Safe processing usage history is shown for the most recent 12 months.
• After a content deletion request, ClipPrism removes access first and cleans up known original content, derived files, and provider copies. Limited records without user content may remain for security, billing, or legal duties.
• Email verification and password recovery use short-lived, single-use credentials. An email delivery provider receives the address and delivery information needed to send these transactional emails; they are not marketing messages.
• To prevent automated abuse and protect accounts and uploads, security providers may process browser, device, network, and risk signals and return a short-lived challenge result.
• Uploaded video, original audio, and related files may be stored or processed using cloud infrastructure located in the United States. Some audio and transcript text is processed in mainland China as described below.

Data and purposes

We process account and session data; uploaded video and resulting audio, transcripts, scores, previews, and exports; task and security records; and information required for support requests.

• Provide and secure the service you request.
• Troubleshoot, prevent abuse, process deletion requests and support requests, and meet legal duties.
• Do not use production customer content for general model training, marketing, advertising, or public examples without a separate lawful basis and explicit consent.

Providers, transfers, deletion, and retention

Cloud infrastructure, storage, speech recognition, and AI analysis providers help deliver the service. Some audio and transcript text is processed in mainland China. ClipPrism sends only the minimum text needed for scoring and does not send the original media or direct account identifiers for that purpose. Temporary audio copies uploaded to the transcription service are deleted after processing; failed or interrupted copies are kept for no more than seven days. Providers process data under their applicable terms and account settings, so ClipPrism cannot guarantee that every provider always excludes training use.

Optional usage analysis

With your permission, we also measure entry into clip review and editing, and visits to Guides, Compare and FAQ. These events contain the event name, without page contents or full URLs. With your permission, we send product actions (such as registration, video processing and export), account identifiers and technical diagnostics to PostHog to improve the product. Account-linked records are not anonymous. We do not use this integration for advertising or session replay. Your choice applies to this browser and is stored in a necessary preference cookie for 180 days. You can withdraw permission through Privacy settings; subsequent optional collection stops, while earlier records are not automatically erased. Analysis records are retained only as needed for product improvement, subject to configured retention and applicable duties. Contact us through this policy to request access or deletion. Necessary login, security, task and payment processing continues regardless of this choice.

User research

Optional research surveys collect your selected answers, any text you choose to provide, interface language and submission time to improve ClipPrism. Drafts expire after 7 days; submitted content is retained for 180 days and is available only to authorized operators. Minimal participation records prevent repeated invitations and remain until account deletion, which also deletes associated answers. Analytics-consented interaction counts are separate from answers; refusing analytics does not prevent participation. No answers are sent to third-party analytics. Changes to this policy

We may update this policy when our service, legal duties, security practices, or personal-data processing changes, and will update the date shown on this page.

• Where required, we will give reasonable advance notice by email, an account notice, or a prominent service notice if a material change affects data categories, purposes, sharing or transfers, retention, or user rights.
• We will request consent again where applicable law requires it.

My fonts

We retain private fonts, authorization sources, declaration versions, materials and action records for preview, video generation and rights complaints. They are not added to the public font library; the account owner and authorized personnel can access relevant records. Browser preview receives font bytes. Removed fonts cannot be used for new rendering. Ordinary materials are deleted through the cleanup process after 30 days from removal; unresolved complaint materials are held until the case is explicitly closed. Necessary font references and audit records remain to explain historical project status.

Editing assets and reusable schemes

We process private account assets, personal scheme preferences, clip edits, audio detections, and temporary preview, audition, and export files. Completed account-level reusable image and video uploads may serve multiple clips and are not covered by an individual video's expiry; video deletion and temporary-job cleanup do not automatically delete them. Temporary processing/audition jobs expire after 2 hours and unfinished upload records after 20 minutes, then follow cleanup procedures, not guaranteed immediate physical deletion. Contact support for asset or personal-data requests. Built-in media supplied by ClipPrism is separate from your private uploads; we store its selection and timing with your edits. If you enable translation when finding clips, the translation provider receives the generated Clip caption text needed for that request, not the full transcript or original media.

Audio content and editing-software handoff

Original MP3/WAV audio, Audiogram covers and waveform data, saved clip versions, handoff settings, timelines, subtitles, asset copies, and packages are user content or processing records used to provide these services. Original audio and Audiogram output follow the source content retention rules; temporary transcription-audio cleanup does not define original-audio retention. Handoff packages remain subject to source-video access and retention limits. Generating or downloading a package does not extend retention; deleting content from the service does not recall copies you have downloaded.

Writing, transcript search, and editing inputs

For AI Writer, the AI provider receives the full processed source transcript for the selected formats, its timing and paragraph references, writing instructions, publishing identity, and output settings. Requests containing only social formats may use the selected Clip’s retained transcript range. Semantic search sends the query and the selected group’s source text, context, references, and timing to an AI provider; keyword and exact-phrase matching does not call a model. Original media and direct account identifiers are not sent for these text requests. Existing provider and processing-region disclosures also apply.

Writing configurations, candidates, saved documents, and citations follow the source content’s retention and deletion rules. Searching, writing, saving, or creating Clips does not restart that period. Search usage records keep request fingerprints, source versions, match offsets, status, and usage, not raw queries, matched text, or provider replies. Records older than 181 days are cleaned up when that history is accessed; source expiry or deletion still removes old results.

SRT processing stores the filename, language, caption text and times, and matching or adoption records. Unbound attachments expire after 1 hour; bound candidates and revisions follow source retention and deletion. Cover and quote-image inputs, frames, layouts, and generated images also follow source access and retention. Background-music uploads and mix settings belong to their source content: unadopted candidates expire after 24 hours, while adopted music follows that source’s retention and deletion. This differs from reusable account-level image and video assets; music is not a permanent library. Expiry is followed by cleanup, not guaranteed immediate physical deletion.

Verified copies of identical source media, extracted audio, and transcripts may be reused across processing tasks. This cache is separate from temporary audio copies uploaded for transcription. Each task keeps its own access and expiry; reuse does not grant access to another user’s task or extend your task’s retention. Deletion first revokes the relevant task’s access; shared copies are physically cleaned up after no valid task reference remains. User edits, SRT candidates, and generated writing results are not shared through this source cache.
